A case-pack specification connects the product a customer buys with the cartons and pallets a warehouse receives. Without that connection, an order described as “twenty boxes of coffee” can mean retail boxes, inner packs or shipping cartons. The quantities may be correct at one level and wrong at another.
Build one packing hierarchy for each exact SKU. Record the retail unit first, then any inner pack, the master case and the proposed pallet configuration. Alongside counts, request measured dimensions and weights at each level you need for receiving, storage and transport planning.
The retail unit is the pack sold or issued as one item: a coffee bag, jar or retail box of sachets. An inner pack groups several retail units within a case. The master case is the outer carton used for ordering or handling. A pallet holds cases assembled into a load.
Not every product uses every level. Some cases contain retail packs directly. Some office products are issued by sachet even though purchasing happens by a retail or catering box. Make those relationships explicit instead of adding a presumed inner pack.
| Level | Count to request | Other information needed |
|---|---|---|
| Retail unit | Contents within the sellable pack | SKU, net content, identifier, dimensions |
| Inner, if used | Retail units per inner | Whether ordered or only used for handling |
| Case | Inners and total retail units per case | Case identifier, external dimensions, net and gross weight |
| Pallet load | Cases per layer and layers, if fixed | Total cases, loaded dimensions, gross weight, pallet type |
Specify the ordering unit separately. A supplier may invoice cases while your system stores inventory in retail packs. Both systems need the same conversion factor and an agreed process for any future change.
Retail net content describes the amount of product in the pack. For coffee measured by mass, multiplying that amount by retail packs gives product net weight. Gross weight includes the product and the packaging at the level being measured.
A case gross weight therefore includes its retail packaging, any inners and the outer carton. A loaded pallet gross weight also includes the pallet and additional wrapping or protective materials. Do not multiply a case gross weight and call the result loaded-pallet gross weight unless those additional materials are included separately.
Write units beside every value. “Weight: 8” is incomplete. Record kilograms or grams, the packaging level, whether the value is net or gross, and the source or measurement date. Ask how the supplier defines any unfamiliar weight field before copying it into your shipment documents.
The values below are fictional. One retail coffee bag contains 250 g, six bags form an inner, and four inners form a case. A case measures 400 × 300 × 250 mm externally, has 6.0 kg product net weight and 6.8 kg gross weight. A proposed pallet has eight cases per layer and five layers; its base is 1,200 × 800 mm and 150 mm high. The pallet weighs 20 kg, and wrapping and protection weigh 2 kg.
| Calculation | Result |
|---|---|
| Retail packs per case: 6 × 4 | 24 |
| Cases per pallet: 8 × 5 | 40 |
| Retail packs per pallet: 24 × 40 | 960 |
| Product net weight per case: 24 × 0.25 kg | 6.0 kg |
| Product net weight per pallet: 40 × 6.0 kg | 240 kg |
| Loaded pallet gross weight: 40 × 6.8 + 20 + 2 kg | 294 kg |
| Case external volume: 0.4 × 0.3 × 0.25 m | 0.030 m³ |
| Sum of case volumes: 40 × 0.030 m³ | 1.200 m³ |
Five case layers plus the pallet height give a nominal height of 1,400 mm. Using the stated base, the nominal pallet envelope is 1.2 × 0.8 × 1.4 = 1.344 m³. This envelope differs from the sum of case volumes because the load includes the pallet and unfilled space.
The arithmetic does not establish an approved stacking pattern. Confirm the actual layer arrangement, loaded measurements, protection and permitted stacking with the supplier and receiving warehouse. Use final measured load data when obtaining transport approval.
A retail display team and a warehouse may use different orientations for height, width and depth. Send field labels that match your receiving system and ask the supplier to identify the measured orientation. For flexible coffee packs, request dimensions using the relevant packaging method rather than measurements of a flattened empty bag.
The GS1 Package and Product Measurement Standard provides rules by packaging type and distinguishes consumer from non-consumer measurement. It also recommends remeasurement when a product or packaging change could affect dimensions or weight.
Request values for the packed product and closed shipping case. For pallets, request the loaded external envelope, including any projection beyond the pallet. Do not substitute pallet-base dimensions for the actual load width and length. Record nominal planning values and confirmed shipment values in separate fields when they differ.
A retail pack identifier and a case identifier answer different ordering questions. GS1 defines a GTIN as an identifier for a trade item, which may be priced, ordered or invoiced. A case sold as a defined trade item therefore needs its corresponding product record and identifier rather than being treated as one retail pack.
An SSCC identifies a logistics unit, such as a particular pallet or parcel assembled for storage or transport. A pallet can be a logistics unit; if it is also a predefined trade item, it can have a GTIN for that trade-item configuration as well. Keep the product type and the individual shipped load distinct in your data.
Ask for the real identifiers already assigned to the proposed packaging. Do not construct a case number from the retail number in a buyer worksheet. When case quantities change, check identifiers and conversions together before receiving the new configuration.
Send the proposed packing sheet to the receiving warehouse before the order is finalized. Ask it to confirm handling limits, rack suitability, pallet type, dock requirements and any case-label instructions. Send the same measured load information to the transport provider for its own suitability check.
Include purchase-order reference, SKU, retail packs per case, ordered cases and calculated retail packs in the order confirmation. Retain the supplier's dated packing specification. If the actual shipment changes, reconcile the packing list and system conversion before booking receipt.
The export packing-list template covers the shipment document built from these inputs. To request packing details from MR.VIET wholesale, specify your destination market, channel, preferred coffee format and expected volume, then ask for the case and proposed pallet specifications for the exact SKUs.
